Operator Management

An operator feature allows you to grant access to collaborators or employees so they can work within your Safe Creative account. This feature is available if you have a Business plan (includes 3 expandable operators) or an Enterprise plan (includes 10 expandable operators).

• To add a new operator: Select "Operators" from your account menu.
• Next, click on "New operator" and complete the access details that you will need to provide to them.

Operator Roles and Permissions

Standard

This role is designed for regular users who need to manage their own registrations without accessing sensitive account data.

• Permitted actions: * Use all services available within the plan and register works on behalf of the administrator.
• View and manage their own registrations and evidence.
• View or manage registrations and evidence for departments they have been granted access to, depending on their configured access level.
• Restricted actions: * Cannot view the personal information of the administrator or other users, access certificates, make payments, or access billing data.

Department Manager

This role is suited for team leaders who oversee content organization and operator workflows.

• Permitted actions: * Holds the same permissions as the Standard role.
• View and manage all registrations and digital evidence across the account.
• Create departments and manage access permissions for any operator within any department.
• Restricted actions: * Cannot view personal information or certificates of other users, nor access payments and billing data.

Administrator

This role holds full operational control, equivalent to the account owner.

• Permitted actions: * Holds the same permissions as the account owner, including the ability to change operator roles.
• Manage all services, registrations, and Stamper evidence.
• Create departments and manage permissions.
• Unlike other roles, administrators can view personal information and certificates of other users, make payments, modify payment methods, and access billing data.

Departments divide the registered content of your account into distinct organizational groups. This allows you to keep your company’s registrations structured and well-categorized.

• Access Levels: Each operator can be assigned to one or several departments with a specific access level: View, Download, or Manage. Optionally, they can be granted the additional permission "Can register".
• Visibility: An operator can only see registrations within the specific departments where they have assigned access, in addition to any individual registrations in which they have been directly involved.

What happens to content not assigned to any department?

From the department settings page, administrators can view all existing departments and configure how the system should handle content that has not yet been assigned to a specific department.
